Introduction

Your privacy is important to us. Propurti Geeks Incorporated ("Company" or "We") respect your privacy and are committed to protecting it by complying with this privacy policy (the "Policy") regarding the Personal Information we may collect about you when you visit our website www.propurti.com and our mobile application (collectively, the "Platform").

In this Policy, Personal Information means information about an identifiable individual, as defined under Alberta's Personal Information Protection Act (PIPA) and, where applicable, the Personal Information Protection and Electronic Documents Act (PIPEDA). This includes, but is not limited to, information about you as a person (such as your name, address, date of birth, and identification numbers), your devices, payment details, and information about how you use our Platform. Personal Information does not include aggregate or de-identified data, or the business contact information of employees of an organization used for business purposes.

Our Platform may include links to third-party websites, plug-ins, services, social networks, or applications. If you follow a link to a third-party website or engage a third-party plugin, please note that these third parties have their own privacy policies. We encourage you to read their privacy policies and we do not accept any responsibility or liability for these policies. This Policy does not apply to any of your activities after you leave our Platform. This Policy is governed by and construed in accordance with the laws of the Province of Alberta and the laws of Canada applicable therein.

Information We Collect

We collect and use several types of information from and about you, including:

Personal Information

We may ask for Personal Information for example, when you create an account, submit content to us, use Platform features, or when you contact us, which may include one or more of the following:

  • First and last name
  • Email address
  • Telephone number
  • Physical address (such as a property address associated with an account, which may not be a personal residence).

Technical Usage and Log Information

When you visit our Platform, our servers and systems may automatically log the standard data provided by your web browser or mobile application. We automatically collect certain technical and usage information to ensure security, maintain service quality, and improve platform performance. This may include:

  • Internet Protocol (IP) address
  • Device type, operating system, and browser information
  • Dates and times of access and activity
  • Error logs and diagnostic data
  • Audit logs recording actions taken within the Platform.

This information is used for security monitoring, fraud prevention, troubleshooting, and compliance purposes. Additionally, if you encounter certain errors while using our Platform, we may automatically collect data about the error and the circumstances surrounding its occurrence.

Account and Platform Information

To operate our Platform securely and manage access, we collect and maintain account-related information, including:

  • User role (e.g. tenant, property owner, property manager, administrator)
  • Login credentials (stored in hashed or encrypted form)
  • Authentication tokens and session identifiers
  • Account status (active, inactive, suspended)
  • Communication and notification preferences

This information is used to authenticate users, enforce role-based access controls, and deliver relevant platform communications.

Property and Tenancy-Related Information

As a property management Platform, we process information relating to properties and tenancy relationships.

For property owners and property managers, this may include:

  • Property addresses and unit identifiers
  • Ownership or management associations
  • Lease terms (including start and end dates and rent amounts)
  • Maintenance records, requests, and work orders
  • Documents uploaded to the platform, such as leases, notices, and invoices.

For tenants this may include: assigned unit or property information; lease-related details; maintenance requests and related communications; and payment status information (excluding full banking or card details). This information is processed to support property operations, maintenance workflows, compliance with tenancy obligations, and communication between authorized parties.

Financial and Payment-Related Information

We do not store full payment instrument information. We may collect payment history (transaction amounts, dates, and status), outstanding balances, and invoice and receipt records. We do not collect or store full credit card numbers or full bank account numbers.

Payments are processed by third-party payment service providers. We store only payment tokens or transaction references provided by these processors, which cannot be used independently to initiate payments.

Communication and Support Information

We collect information generated through use of platform communication and support features, including:

  • Messages exchanged between tenants, property managers, and property owners.
  • Customer support inquiries and tickets
  • Notes entered by authorized Users
  • Attachments such as photos or documents related to maintenance or property issues.

This information is used to facilitate communication, resolve issues, and improve the quality and reliability of our services.

How We Collect Your Information

We may collect Personal Information from you when you do any of the following on our Platform:

  • Use a mobile device, mobile application, or web browser to access our content.
  • Contact us via contact forms, email, social media, or on any similar technologies.
  • Create and manage accounts.
  • Communicate with other users.
  • Request for support services

How We Use Your Information

We collect and use the Personal Information that you provide to us or that we collect about you through the Platform to:

  • Provide, operate, and maintain our Platform, and provide you with our Platform's core features and services.
  • Facilitate property management, tenancy administration, and maintenance workflows.
  • Communicate with users regarding accounts, services, and support.
  • Process payments and maintain financial records.
  • Improve Platform functionality, security, and user experience.
  • Contact and communicate with you.
  • For analytics, market research, and business development, including to operate and improve our Platform, associated applications, and associated social media platforms.
  • Enable you to customize or personalize your experience of our Platform.
  • Comply with applicable legal and regulatory obligations.
  • For any other purpose with your consent.

Where we intend to use Personal Information collected via the Platform for a new purpose not identified above, we will notify you and, where required by applicable law, obtain your consent prior to such use.

Use of Cookies

We use "cookies" and similar tracking technologies, including those used in mobile applications, to collect information about you and your activity across our Platform. A cookie is a small piece of data that our Platform stores on your device, and accesses each time you visit, so we can understand how you use our Platform. Please refer to our Cookie Policy for more information.

Consent

By using our Platform, you consent to the collection, use, and disclosure of your Personal Information as described in this Policy. Where required by applicable law, we will obtain express consent before collecting, using, or disclosing Personal Information for purposes beyond those reasonably necessary to provide the services. Consent may be express (given orally, in writing, or electronically) or implied (through voluntary provision of Personal Information for an obvious purpose, or through continued use of our Platform after notification of changes to this Policy). You may withdraw your consent at any time, subject to legal or contractual restrictions, by contacting us as set out in the "Contact Us" section below.

Property owners and property managers represent and warrant that they have obtained all necessary consents and have the legal authority to provide Personal Information relating to tenants or other individuals, and that such information is collected and disclosed in accordance with applicable privacy legislation, including PIPA and PIPEDA and applicable tenancy laws. We are not responsible for verifying that such consents have been obtained but may request evidence of consent where reasonably necessary.

Security of Your Personal Information

When we collect and process Personal Information, and while we retain this information, we will protect it using appropriate technical, physical, and organizational security measures designed to prevent loss, theft, unauthorized access, disclosure, copying, use, or modification. Although we implement robust safeguards to protect the Personal Information you provide to us, no method of electronic transmission or storage is entirely secure. We cannot guarantee absolute data security; however, we are committed to promptly addressing any suspected or actual security incident in accordance with our obligations under applicable law.

You are responsible for maintaining the confidentiality and security of your account credentials, including selecting a strong password and safeguarding it from unauthorized use. You agree to notify us immediately of any unauthorized access to or use of your account. We shall not be liable for any loss or damage arising from your failure to maintain the security of your account credentials.

Data Retention

Except as otherwise permitted or required by applicable law or regulation, we will retain your Personal Information only for as long as reasonably necessary to fulfill the purposes for which it was collected, as described in this Privacy Policy. Notwithstanding the foregoing, we may retain your Personal Information beyond the periods described above where necessary for compliance with a legal, accounting, tax, or reporting obligation, provided that appropriate safeguards are in place to protect your rights.

Children's Privacy

We do not knowingly collect Personal Information from individuals under the age of majority in their province of residence without verifiable parental or guardian consent. If you are a minor, please do not use our Platform or provide any Personal Information without the consent of a parent or guardian. If we become aware that we have inadvertently collected Personal Information from a minor, we will take reasonable steps to promptly delete that information from our systems. If you believe that we may have collected Personal Information from a minor, please contact us immediately using the details provided in the "Contact Us" section below.

Disclosure of Personal Information to Third Parties

We may disclose Personal Information to the following categories of recipients, provided that such disclosure is limited to the minimum information reasonably necessary for the stated purpose and, where applicable, subject to contractual obligations requiring the recipient to protect the Personal Information in a manner consistent with this Policy and applicable law:

  • Third-party service providers for the purpose of enabling them to provide their services, including hosting, payment processing, analytics, background screening, and customer support.
  • Business partners where necessary to deliver services you have requested, subject to appropriate confidentiality obligations.
  • Where required or permitted by law, including in response to lawful requests by public authorities.
  • In connection with a business transaction, such as a merger or acquisition, subject to applicable legal requirements.
  • For any other purpose disclosed by us when you provide the information.
  • With your consent.

Third parties we currently use include: Google Analytics (website analytics), Digital Ocean (cloud hosting), Vercel (front-end hosting), Plaid (banking/payment verification), Stripe (payment processing), and Certn (background screening).

International Transfers of Personal Information

The Personal Information we collect is stored and/or processed in Canada, the United States or in other jurisdictions where we or our partners, affiliates, and third-party providers maintain facilities. Please be aware that foreign governments, courts, or law enforcement agencies may be able to access your Personal Information pursuant to the laws of the jurisdiction in which it is stored or processed. When Personal Information is transferred outside of Canada, we take steps to ensure that it receives a comparable level of protection. We will: (i) perform those transfers in accordance with the requirements of applicable law (ii) ensure that contractual or other measures are in place to provide a comparable level of protection for your Personal Information; and (iii) protect the transferred Personal Information in accordance with this Policy.

Your Rights and Controlling Your Personal Information

Your Choice

By providing Personal Information to us, you understand we will collect, hold, use, and disclose your Personal Information in accordance with this Policy. You are under no obligation to provide Personal Information to us; however, if you choose not to, it may affect your ability to use our Platform or access certain products, services, or features offered on or through it. We will inform you at or before the time of collection if the provision of certain Personal Information is mandatory and the consequences of not providing it.

Information from Third Parties

If we receive Personal Information about you from a third party, we will protect it as set out in this Policy and in accordance with applicable law. If you are a third party providing Personal Information about another individual, you represent and warrant that you have obtained that individual's informed consent to provide their Personal Information to us for the purposes described in this Policy, or that you are otherwise legally authorized to do so.

Marketing

If you have previously agreed to us using your Personal Information for direct marketing purposes, you may change your mind at any time by contacting us using the details provided in the "Contact Us" section below.

Access

You may request details of the Personal Information that we hold about you. We will respond to requests for access to or correction of Personal Information within such period as are permitted by applicable law. We will notify you if an extension is required.

Correction

If you believe that any information we hold about you is inaccurate, out of date, incomplete, irrelevant, or misleading, please contact us using the details provided in this Policy. We will take reasonable steps to correct any information found to be inaccurate, incomplete, misleading, or out of date.

Notification of Data Breaches

In the event of a privacy breach that poses a real risk of significant harm to individuals, we will notify affected individuals and report the breach to the applicable privacy regulator as required by law. We maintain a record of all privacy breaches, whether or not notification is required.

Complaints

If you believe that we have breached this Policy or applicable law and wish to make a complaint, please contact us using the details provided in the "Contact Us" section below and provide us with full details of the alleged breach. We will promptly investigate your complaint and respond to you, in writing, setting out the outcome of our investigation and the steps we will take to deal with your complaint. If you are not satisfied with our response to a complaint, you have the right to contact the Office of the Information and Privacy Commissioner of Alberta (OIPC) at www.oipc.ab.ca or, where PIPEDA applies, the Office of the Privacy Commissioner of Canada at www.priv.gc.ca.

Right to Withdraw Consent

Where you have given us consent to collect and use your Personal Information for a specific purpose, you may, subject to certain legal or contractual restrictions, at any time refuse to consent or withdraw your consent to the collection, use, or disclosure of your Personal Information by notifying us using the email address provided in the "Contact Us" section below. Upon receipt of your withdrawal of consent, we will inform you of the likely consequences of withdrawing consent, which may include our inability to provide or continue to provide certain services to you.

Anti-Spam Legislation

We do not send unsolicited commercial electronic messages to persons with whom we have no existing business relationship or from whom we have not obtained express or implied consent, as applicable. Our Platform and electronic communications comply with Canada's Anti-Spam Legislation (CASL). Where we send commercial electronic messages, we do so only with your express or implied consent as applicable under CASL. You may withdraw your consent to receive commercial electronic messages at any time by clicking the unsubscribe link in any such message or by contacting us at privacy@propurti.com. We will process unsubscribe requests within 10 business days, as required by CASL.

Changes to This Policy

At our discretion, we may change this Policy to reflect updates to our business processes, current acceptable practices, or legislative or regulatory changes. If we decide to change this Policy, we will post the changes here at the same link by which you are accessing this Policy and will update the "Last updated" date at the top of this page. We encourage you to review this Policy periodically to stay informed of any changes.
